Scheduling Guidelines

When booking an appointment, please inform our staff about the type of visit your child needs. This helps us allocate the right amount of time and prepare any necessary materials in advance.

If you have multiple concerns to discuss or need to bring more than one child in for appointments, please let our scheduling team know when you call so we can plan accordingly. This ensures we can give each child the time and attention they deserve.

Well Child Visits

Well-child checkups are an essential part of your child's preventive care. These visits allow our providers to track growth, development, and immunizations while identifying potential concerns early.

We recommend scheduling well-child visits in advance:

• Infants and toddlers: Schedule 2 to 3 weeks in advance, as these visits are more frequent and appointment slots fill quickly.
• School-age children and adolescents: Schedule approximately 3 months in advance, especially for annual physicals needed before the school year begins.

Sick Child Visits

When your child is ill, we understand the urgency. Established patients who call during business hours will be offered a same-day appointment whenever possible. Our team works to accommodate sick children promptly so they can receive the care they need without unnecessary delays.

When calling about a sick child, please describe your child's symptoms to our staff. This helps us prioritize appointments and prepare for your visit.

Walk-Ins

While we encourage scheduling appointments whenever possible, we understand that unexpected situations arise. Walk-in patients will be fitted into our schedule when possible. Please be aware that patients with scheduled appointments will generally be seen first, and walk-in wait times may vary depending on the day's volume.

On-Time & Late Arrival Policy

To provide the best care to all of our patients, we ask that you arrive on time for your scheduled appointment. Patients who arrive on time will be seen in their scheduled order.

• Sick visit patients: We understand that things come up, and we always do our best to care for every child. However, if you arrive late for your appointment, we may need to work you back into the schedule as availability allows. This could mean a longer wait, as patients who arrived on time will be seen first. In some cases, we may need to reschedule your visit for the next available opening. Arriving on time helps us provide the best care for your child and every family in our office.
• Well-child visit patients: If you arrive more than 15 minutes late, you may need to reschedule your appointment. Well-child visits require a specific amount of time, and late arrivals can disrupt the schedule for other families.

We appreciate your understanding and cooperation in helping us maintain an efficient schedule for all patients.

No-Show Policy

Missed appointments prevent other children from receiving timely care. If you are unable to keep a scheduled appointment, please contact our office at least 24 hours in advance so we can offer that time slot to another patient.

If you fail to show up for your appointment or do not provide at least 24 hours notice of cancellation, you may be required to pay a small nominal fee that is not covered by insurance. This policy helps us maintain availability for all patients and ensures that our providers' time is used effectively.

After-Hours Care

For after-hours concerns, call our main line at (386) 243-8474. Our providers take turns being on call to answer your questions and provide guidance outside of regular office hours.

Our on-call provider can help you determine whether your child's condition requires immediate attention at the emergency room or can be safely addressed at our office during the next business day.

For medical emergencies, always call 911 immediately.
